Every vendor demo hits the same beats: friendly voice, quick pitch, a scripted call that goes exactly as planned. That tells you almost nothing about how it handles your practice.
Ask what happens on the edge cases
A demo call never includes the caller who wants a same-day emergency slot, the one asking about a procedure the practice doesn’t offer, or the one who gets frustrated and asks for a person. Ask the vendor to run those scenarios live, not from a script they picked.
Ask where your scheduling rules actually live
Some platforms are one shared script with your logo on it. Others are built around the specific way your practice runs — which insurance you take, which procedures need a longer slot, who has to personally approve a rescheduled surgery. Ask exactly where that logic is configured, and who maintains it after launch.
Ask what a caller experiences when it doesn’t know the answer
Every agent hits a question it can’t handle. The difference is what happens next: does it guess, does it stall, or does it hand off cleanly with the caller’s details already captured? That handoff is where trust is won or lost.
